Privacy Policy Overview

Our policy is designed to comply with the latest GDPR regulations, and ensure you fully understand why we have your data, what data that is and what we do with it. In most cases the lawful basis for which we hold your data has been assessed as ‘legitimate interest’ in a business context or under legal obligation.

We will be transparent about the information we collect about you including website behaviour and click data, where it comes from, and how we use and share it.

We will only use your information to deliver the best possible service, to communicate with you, to send you marketing and other information you have opted or previously received through business communication, personalise the way we communicate with you, and to improve the way we do business.

We will never share any of your information with anyone outside of our group of companies for them to use in marketing their own products or services to you.

We’ll be honest with you if and when we make any changes to the way we use your information. And we will always tell you in advance so that you can decide if you’re happy with what we’re doing.

You control what marketing communications you get from us. If you choose not to receive something from us, don’t hesitate to tell us either online, by email, phone or by post.

You have legal rights to access and update or correct your information. So you can ask for a copy of any information we hold about you at any time, and also to have that information corrected if it’s inaccurate.

Please take the time to read and understand this policy. Please bear in mind that by using our websites, or contacting us by telephone or providing information to us in our offices or factory or by way of social media, you agree to its terms.

At various points, we’ve included links to other websites. Please remember that these websites are controlled by other people and organisations. We’re not responsible for them.

What information do we collect and when?

We only collect information that we need and will use.

We may collect:

  • All information you choose to submit to us. You can do that in a number of different ways:
    • By filling in forms, for example when you ask us a question via our website.
    • By sending us emails and text messages (SMS or MMS).
    • By sending us printed matter.
    • By asking questions or providing comments to any of our websites.
    • By liking or disliking our offers and promotions.
    • By interacting with us on social media platforms such as Facebook, Twitter, Google+ or LinkedIn.
    • By talking to us in our office/factory or over the telephone. For example, when enquiring about a purchase or making a complaint.

Full details of the purchases you make at our office or over phone and email. These include but are not limited to the time, date and branch location; the products you buy from us; any relevant delivery address; In cases where a credit card payment is made, we process your payment in a secure manner in accordance with Payment Card Industry Data Security Standard (PCI DSS).

  • Information on what you view, click on and access through our emails and websites. This can include the device used to access data, geographical location and pages of the website you viewed. This is done through the use of cookies. The cookie policy for this website is set out here.
  • Technical information about the devices you use to access our websites. We track device model, device name, operating system and version, web browser and version.
  • Your social media content where this is in the public domain. We may on occasion collect data which includes, posts, comments, images and videos from our social media platforms that is in the public domain in order to improve our current product and service offering. Please ensure you review the privacy policies of the individual social media sites.
  • Profile information from organisations that already hold information on you, such as credit reference agencies.
  • Information collected independently by online advertising networks (Google for example) through which we place advertisements. This information is dependent upon the third party and often relates to the accumulated actions of several people rather than individuals. We cannot identify individual users from this information. You can change your settings and Do Not Track options and online advertising advert tracking options yourself using your own devices, RGC does not control these cookies and we suggest you check these third-party websites for more information about the cookies they use and how you can manage them.

How do we use your information?

We use the information we collect for the following reasons:

  • To provide you with our websites, which require a certain amount of technical information to work properly.
  • To help us run competitions and special offers and ensure you get the offers and prizes due.
  • To get feedback from you about our products, through the use of online, phone and email surveys.
  • To contact you from time to time in relation to products and services that you have indicated you are interested in.
  • To reply to any questions, suggestions, issues or complaints you have contacted us about.
  • To respond to any social media posts or other public comments you might make, whether they are directly to us or about us, our products, websites, services or other activities.
  • To advertise products or services to you on social media platforms like Facebook and Twitter.
  • To gather information about RGC adverts you may see on different websites. We gather this information from website cookies and other similar technologies. This information is then combined and used with similar information to identify relevant advert content so we can serve adverts of interest to you.   • To tell you about any changes to our products, services, and websites. For example, if we change this privacy policy.
  • To make a contract with you. But also to enforce a contract if you don’t honour it, including the collection of any debts that you may owe.
  • To gather statistics about how you use our website, what pages you visit, and the length of time you are on our website. This information is aggregated over time using all of our website visitors. We cannot track individuals in this way. We also use this information to better understand the needs of our website visitors so we can provide offers and content relevant to our audience.
  • To monitor how people use our websites to see if they are being abused or threatened, for example, by internet trolls posting inappropriate comments in comment sections or by would-be hackers looking to infiltrate our security.
  • To protect you and our business from any other potentially criminal behaviour, including identity theft and fraud.
  • To help us maintain administrative and statutory records about our business so we have basic and legal business details on finances and products, and ensure we can pay our taxes.
  • To help us conduct focused market research based on trends and common factors, which helps us improve our customer offering.
  • To see if the money we spend on marketing and advertising across all media represents good value for us or not.

Who do we share your information with?

Occasionally we need to share information with third parties that help with our business processes. We do this in accordance with all relevant legal obligations.

Your information may be disclosed to:

  • Other people who help us provide the services that we provide. These typically include design agencies, transport companies, printers, mailing houses, employment agencies, research companies and contractors.
  • Our insurers and insurance brokers who provide us with appropriate cover against the risks of running a business. (They may keep this information for the purpose of ongoing risk assessment and insurance broking and underwriting services.)
  • Credit reference agencies, who supply anti-fraud and credit-insight information to us; this solely relates to businesses and not individuals.
  • With social media companies such as Facebook and Twitter, as and when we opt to serve adverts via these platforms.
  • Any new business partners we may have over time, for example, in the event of a joint venture, reorganisation, business merger or sale that affects us.
  • Our professional advisors including our lawyers and consultants when they need it to give us their professional advice.
  • The Police, local authorities, Her Majesty’s Revenue and Customs (HMRC), the courts and any other government authority if they ask us to do so (and it is lawful to do so).
  • Other people who make a ‘subject access request’, where we are allowed to do so by law. (See ‘Managing Your Information’ below for what we mean by a ‘subject access request’.)

We may also share the information we collect where we are legally obliged to do so, e.g. to comply with a court order.

Social media, blogs, reviews, etc.

Any social media post, comment, review or message, for example on the RGC Facebook page, you place is shared under the terms and conditions of the platform in question. We do not control these platforms, apps or websites and are not responsible for their privacy policies. Please review the privacy policies of each platform before using it, and please understand that in most cases what you submit will be in the public domain. For private messages and direct messages, we will share these within our own group of companies, and with business partners only when it is appropriate. For example if you are raising an issue with a transport company we have used.

Please take extra care to ensure that any comments you make on these platforms, and on social media, in general, are fit to be read by the public, and are not offensive, insulting or defamatory. At the end of the day, you are responsible for ensuring that any comments you make comply with any relevant policy on acceptable use of those services.

International Transfer of Your Information

Although we’re based in the UK we do sometimes use suppliers (for example Automated Marketing Platform) from other countries.

The information we collect may occasionally be transferred to, stored at their premises in other countries.

Naturally, we aim to ensure all our suppliers take information security as seriously as we do. Even so, information protection laws can vary from country to country.

Security of your information

A lot of the information we receive reaches us electronically, originating from your device and then transmitted by your relevant telecoms network provider.

Within our control, we will ensure that transferred data is as secure as possible. When it reaches its destination, we will take appropriate measure to ensure it is held securely.

We use appropriate procedures and technical security measures to safeguard your information across all our computer systems, networks, websites and offices.

With regards to credit card information, we follow and comply with the PCI-DSS.

How Long Do We Keep Your Information For?

We ensure we hold your data for as long as we actually need them for the purposes we acquired them in the first place (as set out above). This is in accordance with current legislation.

Because our products are used in the construction of property we usually need to keep data on file for the life of the product. This can often be upwards of 30 years.

Managing our marketing communications

You will be included in marketing communication only if you opt for us to do so. Within our marketing emails an unsubscribe link is available.

You can also contact us at any time and let us know exactly what you would like us to change.

Managing your information

To reduce the chances of an error or misunderstanding, we need to keep the information we gather about you accurate and up-to-date.

If you have reason to believe any of the information we collect on you may be inaccurate, please contact us.

You are within your rights to ask us whether we hold information about you and if so, for us to give you certain details about that information and/or the information itself. This right is commonly known as a ‘subject access request’. Certain exemptions and conditions apply to this right, principally that it should be in writing and that you give us reasonable details about the information you want.

Depending on your country of residence or domicile, you may have additional or different rights to those set out above concerning the information we collect from you and your devices. We will, of course, honour all such legal rights if we are bound by them.

We reserve the right to charge you a small administration fee to meet our costs in honouring your legal rights, where permitted by the relevant law.

We also reserve the right not to comply with any enquiries or requests we receive about the information we collect, where we may lawfully do so. For example, if we have reason to believe that a request is malicious, technically impossible, involves disproportionate effort or could be harmful to others.

Please don’t forget that with increasing technology you have increasing ways to handle your own data. For example you can turn off tracking cookies and choose what you want to be tracked, you can also change privacy setting in your social media profiles. Most third parties that store data (like Google for example) have ways to help you control your data, so be sure to review these in each respective platform.

Updates to this privacy policy

If we change the way we keep, store and share your information we may need to change the privacy policy. We will do so in accordance to current law, and ensure it is up to date and relevant.

We are the ‘data controller’ of the information you provide us with. This term is a legal phrase used to describe the person or entity that controls the way information is used and processed.
